While Insights has a default success message, you can customize it to communicate even better with your customers. Here are some templates we’ve assembled for a variety of facility types and rental processes.

To find the right template, click on the scenario that best matches your facility. We have also included some example success messages at the end.


Best Practices for Success Messages

Before we dive into the templates, you should keep these best practices and goals in mind:

  1. Clearly communicate next steps—what communications will customers receive, what are they expected to bring to the facility, and what else do they need to know?

  2. Be concise. Customers won’t read multiple paragraphs of text.

  3. Give them a way to get in touch if they have questions.

The goal of a success message is to confirm the rental (or reservation), and then to let them know exactly what they should do next.

You want to erase ambiguity in the process in order to create a better customer experience and a happier customer!

Success Message Templates

Online Rental, but Paperwork Finished in Office

Thank you for choosing [your facility name]! We appreciate your business and are happy to confirm your rental.

Now that your online rental is complete, here’s what happens next:

1. Finalize Your Rental. There is still some paperwork to fill out. Visit our office between [insert office hours and days] to finalize your rental.

2. ID & Documents. Bring [insert required documents] when you come to finalize your rental.

3. Unit Access. [insert details about unit lock process]

4. Facility Access. We're open [insert your access hours].

If you have any questions, please give us a call at [your facility’s phone number] and our team will be happy to help.

We look forward to welcoming you and helping you in any way we can!

Fully Remote Facilities

Thank you for choosing [your facility name]! We appreciate your business and are happy to confirm your rental.

Now that your online rental is complete, here’s what happens next:

1. Gate Code. You'll receive your personalized gate access code in a separate email!

2. Unit Access. [insert details about unit lock process]

3. Facility Access. We're open [insert your gate access hours]. Access your unit any time during these hours.

4. ID & Documents. Because you signed up online, we don't need anything else from you. Your gate code is all you need to get going!

If you have any questions, give us a call at [your facility’s phone number] and our team will be happy to help.

Rent & Paperwork Online, Gate Code @ Office

Thank you for choosing [your facility name]! We appreciate your business and are happy to confirm your rental.

Now that you’ve rented online, here’s what happens next:

1. Gate Access Code. Please swing by our office to receive your gate code. Our office hours are [insert your office hours here].

2. ID & Documents. Bring your ID to identify yourself and receive your gate code. No other paperwork is needed.

3. Unit Access. [insert details about unit lock process]

4. Facility Access. Our gate hours are [insert access hours]. You can access your unit at any time during these hours.

If you have any questions, comments, or concerns, you may simply give us a call at [your facility’s phone number] and one of our friendly managers will be happy to help.

Rental at a Satellite Location (Office has a different address)

Refer to the template that best describes your rental flow, and then add this line below the "here's what happens next" list.

Please note that our office is located at [office address], and you will need to visit that address to meet with our manager. Our office is open [your office hours here].

Reservation Online, Complete Rental in Office

Thank you for choosing [your facility name]! We appreciate your business and are happy to confirm your reservation.

Now that you’ve rented online, here’s what happens next:

1. We’ll Be In Touch. Our manager will reach out to you via [phone/email] to finalize your rental.

2. ID & Documents. In order to complete the rental process, please have [insert required ID/documents].

3. Unit Access. [insert details about unit lock process]

4. Facility Access. Our gate hours are [insert access hours]. You can access your unit at any time during these hours.

If you have any questions, comments, or concerns, you may simply give us a call at [your facility’s phone number] and one of our friendly managers will be happy to help.

Scheduled Move-Out Confirmation Message

Thank you for the heads-up about your move-out date. We’re sorry to see you go, but we’re thankful you chose [your facility name] while you needed storage.

With your move-out scheduled, please ensure to do the following:

1. Remove All Items. Please ensure your unit is empty and you don’t leave anything at the facility.

2. Clean Out Trash. If any trash has been left in the unit or the facility grounds, please clean as needed.

3. Unit Lock. [insert relevant instructions about locks]

If you have any questions, comments, or concerns, you may simply give us a call at [your facility’s phone number] and one of our friendly managers will be happy to help.

Thank you for trusting [your facility name] with your belongings.

Other things to include:

  • You might choose to include a link to your referral program.

  • This can be a space to ask for reviews.

Rental Example

Thank you for choosing Pug Storage of Knoxville! We appreciate your business and are happy to confirm your rental.

Now that you’ve rented online, here’s what happens next:

1. Gate Access Code. Please swing by our office to receive your gate code. Our office hours are 9am-5pm Monday through Friday.

2. ID & Documents. Bring your ID to identify yourself and receive your gate code. No other paperwork is needed.

3. Unit Access. You will need a lock in order to move into your unit. We recommend a cylinder lock for improved security.

4. Facility Access. Our gate hours are 6am-11pm every day of the week. You can access your unit at any time during these hours.

If you have any questions, comments, or concerns, you may simply give us a call at 555-555-5555 and one of our friendly managers will be happy to help.

Move Out Example

Thank you for the heads-up about your move-out date. We’re sorry to see you go, but we’re thankful you chose Pug Storage of Knoxville while you needed storage.
